Job Description

The Finance Department of the ACLUs National office in New York, NY seeks applications for the full-time position of Payroll Accountant. 

The Payroll Accountant will own our semi-monthly payroll process and assist with some general accounting duties. Reporting to the Accounting Manager of Payroll and Revenue, the ideal candidate will be a self-starter with at least 2 years of direct experience in payroll processing, an intermediate understanding of accounting, a passion for the work of the ACLU and will enjoy working in a team environment.

Skill / Requirements

Responsibilities will include, but are not limited to:

  • Accurately process semi-monthly payroll, including earnings, deductions and taxes for 500+ exempt and non-exempt employees in accordance with company policy and federal, state and local laws
  • Work with Human Resources to gather and process supporting documentation for employee changes impacting payroll
  • Maintain integrity of payroll database by updating employee information, user profiles, and system coding for earnings, taxes and deductions in a timely manner
  • Reconcile periodic tax filings and earnings records, including 941s, W-2s, etc., and prepare payroll related schedules for tax returns
  • Work with federal, state and local agencies to ensure the ACLU is registered and in compliance with regulations. Serve as primary contact for correspondence
  • Resolve inquiries from employee and other internal and external users of payroll data by providing accurate and thorough responses that are timely and professional
  • Reconcile payroll items to general ledger accounts
  • Create and maintain documentation of payroll procedures, processes and timelines
  • Maintain an organized filing system of all payroll related records
  • Prepare miscellaneous personnel reports for management
  • Complete ad hoc projects as assigned by Finance leadership team
  • Assist with recording of revenue receipts, including cash and accounts receivable
  • Assist with reconciling data from the donor database to deposit tickets
  • Prepare revenue reports for both audit and management purposes
  • Prepare and maintain accurate related accounting schedules
  • Assist with annual audit and tax return preparation

  • 3 years of related work experience in payroll processing and/or accounting
  • Ability to maintain high degree of confidentiality as it relates to sensitive personnel, financial and board related matters
  • Must take initiative and be highly organized with exceptional attention to detail and the ability to consistently meet deadlines
  • Must have excellent interpersonal skills with the ability to engage stakeholders at all levels, both within and outside of the organization
  • Intermediate proficiency in Microsoft Office Suite (e.g., Outlook, Word, Excel)
