Job Description:
Under the direct supervision of the Associate Director of Business Operations in the School of Earth and Space Exploration, this position monitors and controls the daily business and financial operations and functions for a large volume of sponsored project and program accounts. These functions include basic budgeting, accounting, payroll monitoring, processing of various expenditure requests and other functions designated by unit administrators. This position is intended to cover a broad range of fiscal and research responsibilities for the unit.

Salary Range:
$42,000 - $50,000 per year; DOE

Essential Duties:
Review, submit and authorize supply, service, equipment, and travel expenditures within unit guidelines and available budgetary funds, in accordance with established ASU and/or sponsor policy.
Manage P-Card program for the assigned area/faculty, reconcile P-Card transactions and maintain supporting documentation in accordance with University policies and procedures.
Prepare and submit journal vouchers to adjust/correct expenditures to conform to project funding changes to ensure proper recording of revenue and expenditures to ensure accurate accounting of the use of funds
Create departmental cash handling attestation summaries; provide regular training to all designated cash handling staff to ensure understanding and compliance with all internal controls and policies for proper accounting of cash and cash equivalent transactions.
Set up new sponsored accounts and review against proposal and Sponsor award documents
Assist with proposal processing, setting up ERA sites, compiling internal documents and budgets as needed.
Provide department/faculty with information associated with termination of accounts to ensure all appropriate and authorized expenditures are applied prior to expiration of fund.
Develop specialized reports (as needed) for use by faculty and staff; provide training to faculty and staff in use of information to assist in management of projects.
Monitor fiscal/award period activity against budget and prepare status reports for management of assigned faculty/area/unit; Monitor, review, analyze and interpret financial data for trends; identify areas of concern and recommend corrective actions as appropriate.
Assist departments/faculty in closeout of sponsored project, local and state accounts as requested/needed to ensure accuracy and timeliness of efforts.
Monitor account balance activity to identify problems and/or questionable charges, prepare proper documents when a re-budget and/or indirect cost reconciliations are needed.
Reconcile all accounts monthly and prepare and provide financial and administrative reports to PI with analysis as requested.
Implement internal control measures and procedures for daily operations of assigned functions to ensure compliance with applicable policies and procedures; prepare and update desk manuals.
Participate in a variety of inter and intra area meetings to represent work area's interests and perspective regarding issues.
Provide training and guidance to outlying financial administrators in unit.
Serve as back up for SESE Coordinator’s financial functions.
Perform all other job related duties as requested/assigned.

Minimum Qualifications:
Bachelor's degree in Business Administration, Accounting, or closely related field AND two (2) years of prior business operations experience; OR,Six (6) years of directly related administrative experience; OR,Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications:
Demonstrated knowledge in accounting, bookkeeping principles, budgeting and account management.
Experience in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems.
Evidence using ASU financial/administrative systems (Concur/Travel, WorkDay, ERA, PeopleSoft, IFAS).
Experience in taking responsibility for reconciliations of purchasing cards, departmental accounts and payroll.
Experience in higher education administrative or financial operations education within a large academic unit providing exceptional customer service to faculty, staff, and a large diverse student body.
Evidence of coordinating activities, time management, and establishing priorities; establishing and maintaining effective working relationships.
Demonstrated knowledge of ASU policies and procedures regarding financial and purchasing policies and processes, while understanding their impacts.
Experience using Microsoft Office and Excel applications.

Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25).Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
