Job Description

Process, review, and transmit bi-weekly, multi-company, multi-state payroll data timely and accurately.

Process commissions, bonuses, and incentive pays to input with payroll.

Review and verify timesheets. Work with supervisors to correct time card discrepancies.

Verify attendance, hours worked, and pay adjustments, and post information into designated records.

Review and reconcile any payroll discrepancies.

Issue and record adjustments to pay related to previous errors or retroactive increases.

Research and stay abreast of new laws and regulations regarding payroll and tax related issues as well as state and federal requirements, such as minimum wage, break, leave and final pay requirements, etc.

Process and track federal and state leaves of absences. Collect required paperwork, send designation forms, update status, track benefit payments and process in payroll and send any necessary ongoing correspondence.

Process new managers as system users.

Assist with departmental and system training for new users.

Maintain employee records. Process employee data changes such as personal info updates, rate changes, transfers, and resignations.

Maintain employee confidentiality and protect payroll operations by following compliance policies and procedures.

Respond timely to all employee questions. Provide prompt resolutions to any necessary corrections.

Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc.).

State and local registrations.

Collaborate with teammates to accomplish all department tasks and goals.

Perform other assigned tasks and duties as necessary to support the Payroll/HR Department.

Skill / Requirements

Multi-Company, multi-state payroll processing experience that includes California and working knowledge of payroll best practices and federal and state regulations.

Strong working knowledge of PCs and Microsoft Office Suite software with proficiency in Excel. Must understand and have working knowledge of formulas and balancing data.

Strong problem-solving and critical thinking skills

Ability to work in a deadline driven environment.

Ability to follow standard procedures, retain instruction and learn new tasks with minimal instruction.

Ability to multi-task, adapt to frequent changes, and handle high volume calls and emails while maintaining deadlines.

Ability to complete assigned tasks with attention to detail and high degree of accuracy and confidentiality.

Good interpersonal and communication skills (Verbal and written) with the ability to comfortably communicate effectively with all levels of the organization.

Documenting/Recording information.

Organizing, planning, and prioritizing work.

Use computers to enter, access or retrieve data.

Maintain records, reports, and/or files.
