Responsible for activities related to the daily operations of payroll, equity, 401k and timekeeping administration and provide reporting to HR and Finance Departments as needed using ADP Workforce Now and Equity Edge On-Line. 

 

Primary Responsibilities:  

Prepare and process semi-monthly payroll including hourly employee reporting and reconciliation, new hire set-up, deduction maintenance, Process annual bonus payroll and payroll adjustments relating to stock transactions.

Manage the process for new state or country payroll/tax set-up.

Process manual checks as needed.

Perform daily 401k Administrator tasks including, semi-monthly contribution uploads, new hire and termination entry, loan and rollover support, monitoring deduction changes, employee education and monthly reconciliation and reporting.

Manage daily time and attendance activities including managing ADP timekeeping process, new systems implementation and maintenance, training and accrual monitoring. Manage payroll imports into ADP Workforce Now, and master file and pay data additions and changes.

Respond to employee inquiries concerning payroll and equity transactions, ensuring high customer satisfaction.

Perform daily equity administration including grant issuance and maintenance, option exercises, new hire and termination entry, employee education, general system maintenance and monthly reconciliation and reporting.

Perform month-end close activities, including payroll journal entries, report generation for HR and Finance.

Prepare quarterly workers compensation reporting for non-admitted states.

Perform various year-end activities, including the preparation and filing of annual forms, including but not limited to Forms W-2, 1099, 1095, 3922, etc.

Prepare reports and coordinate with auditors for annual 401k audit (including NDT testing) and Workers Comp audit.

Assist auditors with testing for Sarbanes Oxley compliance and ensure payroll, equity, 401k and timekeeping internal controls are adhered to and Federal and State compliance requirements are met.

Assist with preparation of quarterly review and annual audit schedules for SEC filings such as forms 10Q/10K.

Complete employment verifications and setup wage withholding orders.

Coordinate with HR, Finance and other departments as needed to ensure proper flow and maintenance of employee data.

Ensure compliance with all local, state, and federal record retention and privacy laws and regulations.

Assist with special projects and perform other related duties as required. 

Skill / Requirements

Associates degree or equivalent certification and/or experience with a minimum of 5 years experience in payroll, accounting or a related field.

  • CPP and/or CEP preferred.

  • Knowledge of tax and payroll regulations.

  • Working knowledge of ADP Workforce Now, Time and Attendance software, Fidelity 401(k) and Equity Edge online a plus.

  • Intermediate to advanced Excel skills, including pivot tables.

  • Ability to maintain confidentiality and exercise discretion.
