Job Description

The Payroll & Benefits Administrator is responsible for administering payroll and benefits programs for our US offices. The successful candidate will possess a strong understanding of Federal and State (WA, OR, CA, & MA) laws pertaining to labor, payroll taxes and benefits and is responsible for payroll and benefit administration, maintaining abreast of internal policy changes and new legal mandates. This role works closely with Human Resources, Accounting, and Senior Management to ensure company-wide compliance with policy and mandated laws. The Payroll & Benefits Administrator will also proactively provide the highest level of customer service to our employees, clients, and vendors and provide support to employees by researching and following up on any inquiries regarding benefits and payroll.


Payroll Administration 
Execute and coordinate semi-monthly payroll functions-including timely and accurate payroll processing, W2 and 1095 reporting, and verifying quarterly taxes. Youll also manage the PTO calculation process. 

Employee Benefit Administration 
Manage and track employee benefits-including enrolling and terminating employees in health, dental, vision and life insurance benefits. Youll also be responsible for 401K offerings, enrollment, census and audits, as well as ACA information requests and IRS filings.

RESPONSIBILITIES:

        Payroll administration

  • Full cycle payroll administration for the US offices including auditing payroll processing reports for accuracy

  • Preparation of journal entries and forms, such as income tax forms and remittances

  • Issue ad hoc, monthly, quarterly, and annual reports including all year end processing for the US

  • Handle all inquiries from US employees arising from questions about payroll

  • Implement salary increases and bonuses for US employees in accordance with instructions give

  • Maintains full knowledge of all benefit plans and responds to all benefit plan/program inquiries

    Benefits Administration

  • Maintains full knowledge of all benefit plans and responds to all benefit plan/program inquiries

  • Perform benefits administration to include claims resolution, change reporting and communicating benefits information to employees

  • Serves as the point of contact for employees with benefit related questions or issues

  • Verifies employees are timely enrolled in chosen benefits and appropriate documentation is maintained

  • Enters and audits benefit related deductions and withholdings

  • Tracks and monitors monthly, quarterly, and annual benefit and 401(k) enrollments

  • Process Short Term Disability (STD), Long-Term Disability (LTD), and Workers Compensation programs for US employees

  • Prepare and distribute reports, employee manuals, benefit package descriptions, and other publications for US employees

  • Prepare remittances for group insurance payments for the US offices

  • Administer Benefit Programs in compliance with ERISA, HIPPA, COBRA, Section 125, and applicable Federal and/or State employment/benefit laws

  • Prepares notifications to comply with COBRA regulations

  • Assists with the annual open enrollment period

Skill / Requirements

 

PROFESSIONAL REGISTRATION:

  • Current or willing to work towards CPP (US) and CEBS

 

QUALIFICATIONS + EXPERIENCE:

  • 3-5 years payroll experience with progressively increasing responsibility (preferably in the states of Washington, Oregon, California, or Massachusetts)
  • Experience in a consulting engineering, architecture or construction environment is preferred
  • Experience with ADP preferred
  • Experience with ERP software (Deltek Vision) an asset
  • Familiarity with federal, local and state wage and hour laws
  • Experience in all year-end processing activities (W2s, taxable benefit reconciliations, vacation reconciliations, 1095c and 1094c etc)
  • Current knowledge of US Payroll Law and Employee Benefits Programs
  • Knowledge of income tax forms, health benefits programs, sick pay, retirement plans
  • Intermediate Word, Outlook & Excel
