Job Description

The Accounts Receivable Specialist is tasked with supporting the Finance team through completing the billing and invoicing processes from start to finish, while honoring Lux Bus America’s approach to business that starts with our commitment to safety, operational excellence, and customer service. This includes all aspects pertaining to, but not limited to, providing financial, administrative, and clerical services in connection with client billing and invoicing.


Although additional duties and related tasks may be assigned, the essential duties and responsibilities of this position include the following: 

- Collect and research all necessary data to prepare billing invoices
- Coordinate with Casino contracts to set up new contracts during initial account upstart phase
- Prepare Charter billing by verifying that the actual work completed matches the estimate, identifying discrepancies and requesting clarification from Charter Operations or Business Development, seeking out final review when thresholds are met, and implementing corrections
- Submit invoices directly to customers as required, and provide support coordinating communication for follow up questions, requests for corrections, etc.
- Process payments per established procedures for credit cards, Automated Clearing House (ACH) transfers, direct wires, or physical checks 
- Post payments and apply to associated accounts and orders
- Perform day-to-day invoicing including verifying, classifying, computing, posting and recording accounts receivable data
- Identify when a refund is due, complete approval process, and issue refund
- Generate detailed aging reports and conduct routine review to identify past due accounts
- Facilitate swift payment of invoices due to the Company by sending bill reminders and contacting clients with outstanding accounts
- Maintain and update any disputes and resolutions and escalate per established policies
- Interact with clients in a courteous, friendly, and professional manner and provide excellent customer service at all times
- Develop effective relationships with all relevant customers to better understand and communicate client’s needs and actions 
- Update job knowledge by participating in educational opportunities as requested
- Participate in role cross-training as requested by the regional controller
- Assist with special projects and assume responsibility for the development, administration, and promotion of specific projects as required
- Utilize computerized accounting software programs, such as and Coach Manager, Excel and Great Pleains to perform duties and responsibilities
- Document activities on a variety of manual and electronic documents, files and/or records 
- Develop new and improved existing process checklists and process manuals
- Formulate goals and objectives alongside other supervisors, managers and staff 
- Perform duties and functions to help streamline the daily business operations of the Company
- Contribute to the team effort by accomplishing additional tasks and assignments as needed
- Work with sales team to insure accurate and timely billing

This position will have a set schedule based on the needs of the manager. It will be a Monday-Friday job, most likely starting as early as 8:00 AM and going as late as 5:00 PM.

Education / Experience:

- High school diploma or equivalent
- Minimum 2 years’ experience in general accounting or business administration

Certificates, Licenses, Registrations:

There are no required certificates, licenses, or registrations.

Language Skills:                   

Ability to read and interpret documents in English.  Ability to write in English routine reports and correspondence.  Ability to speak effectively before groups.

Mathematical Skills:    

Demonstrates strong general math skills such as adding, subtracting, multiplying, and dividing whole numbers, fractions, and decimals.  Performs these operations with units of American currency, Regular and Military time, and Imperial measurements of weight, volume, and distance.

Computer Skills      

To perform this job successfully, an individual should have a working knowledge of the following software applications, and proficiency as indicated below. 

- Microsoft Windows 7 or newer, or Apple OS 10.XX or newer
- Microsoft Office 2007 or newer (Word, Excel, PowerPoint, etc.)
- Coach Manager


- Spreadsheet formatting (add rows/columns, borders, fill color, etc.)
- Spreadsheet formulas (SUM, IF, VLOOKUP, Pivot Tables, conditional formatting, etc.)

Other Qualifications                   

- Ability to read and interpret documents such as State and Federal wage and hour law (California Department of Industrial Relations, U.S. Department of Labor, etc.), software operating procedures and instructions, company policies, etc.
- Handle confidential and sensitive information with appropriate discretion
- Exhibit a high personal code of ethics, and reports to management any issues that come into conflict with accounting standards or are seen as detrimental to the business
- Pass a Credit check as required by Lux Bus America
     - To ensure appropriate oversight of certain fiduciary responsibilities, we will require team members which hold applicable positions to be periodically rescreened (e.g., finance department team members)
- Pass a background check
     - This position is designated as requiring a background check due to the nature of the job responsibilities. The Company will consider for employment qualified applicants with criminal histories in a manner consistent with applicable federal, state, and local laws and ordinances.           Employment is contingent upon successful completion of the background check
