Job Description

  • Provide administrative support to the Divisional Finance Director
  • Develop effective written correspondence designed to meet the specialized needs of the department
  • Complete weekly processing of Command Finance Council (CFC) items, including agenda, minutes, uploading items, correspondence, notifications, and communication/coordination with Corps units, Divisional Departments, and Territorial Headquarters
  • Process W-9’s via IRS website
  • Process and maintain Power of Attorney documents for Corps and DHQ bank accounts
  • Open DHQ/Herberger Center daily mail with a representative from the HR Department
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Coordinate and upkeep inventories for all units, including DHQ
  • Manage DHQ petty cash for reimbursement under $100
  • Reconcile petty cash monthly
  • Responsible for tracking credit cards user lists
  • Maintain confidential files and records
  • File accounting records as assigned
  • Mail vendor payment biweekly
  • Departmental copy machine key operator
  • Process office supply orders for the department
  • Assist with cash handling duties related to DHQ including vending machine
  • Maintain department email, fax and vacation calendar
  • Maintain divisional gift card inventory
  • Maintain annual mileage log for all officers of SW division
  • Drive and assist in transportation for department needs/errands as requested
  • Provide support and assistance in other special projects and other duties as assigned

Skill / Requirements

  • High School Diploma or GED required                                                                       
  • Knowledge of email systems required
  • AA degree or equivalent experience preferred
  • Must be a notary within 90 days of employment
  • 5 years exp working in an business office environment                    
  • 1-2 years’ experience/exposure in accounting protocols
  • Non-profit/social service experience preferred                                     
  • Excellent calendar management skills
  • Ability to maintain strict confidentiality                                                    
  • Ability to work as a cohesive team member
  • Excellent written and verbal communication skills                               
  • Ability to pass a criminal background check
  • Computer literate in MS Office software (Word, Excel, PowerPoint)
